Virtual Assistant - Part-time

Remote - Metro Manila, National Capital Region Philippines

We are seeking a proactive and organized Virtual Assistant to support a dynamic production company working with high-profile clients. This role requires managing a blend of creative and administrative tasks such as creating pitch decks, managing calendars, and overseeing production projects. The ideal candidate will have a vibrant personality and meticulous attention to detail to ensure high-quality outputs and efficient workflow management.

Work schedule

  • 20 hours per week
  • 11:00 AM to 3:00 PM Eastern Time US

Responsibilities

  • Develop and refine pitch decks to support project proposals and client presentations.
  • Manage the executive's calendar, ensuring efficient scheduling and time management.
  • Perform general administrative tasks including document preparation using Microsoft Excel and Word.
  • Monitor and maintain social media schedules, ensuring timely reminders for posting across platforms like LinkedIn.
  • Provide quality checks on external communications and project deliverables to maintain high standards.
  • Assist with the coordination and logistical planning of unique projects 
  • Support on-ground video capture needs for client projects, coordinating with content creators to ensure seamless execution.
  • Ad Hoc Tasks: Address and manage unexpected tasks as needed, adapting quickly to changing priorities and project requirements.
  • Assist in invoicing and billing of clients

Qualifications

  • Proven experience as a Virtual Assistant, particularly in a production or creative agency setting.
  • Demonstrated ability in designing compelling pitch decks that effectively communicate project concepts and persuade stakeholders.
  • Strong proficiency in Microsoft Office applications, especially Excel and Word.
  • Excellent organizational skills and the ability to handle semi-high level tasks efficiently.
  • Effective communication and interpersonal skills, with the capability to work closely with diverse teams.
  • A vibrant personality that aligns with the creative and dynamic nature of the production industry.
  • Experience in managing social media calendars and a basic understanding of digital content schedules.
  • A Bachelor’s degree in Marketing, Business Administration, or a related field is required. Advanced degrees in Marketing Strategy, Digital Marketing, or Business Analytics are highly desirable.
