Nonprofit Accountant (US GAAP Background)
We are seeking a highly organized and detail-oriented Nonprofit Accountant to support the financial operations of a nonprofit childcare organization within the education and social services sector. The ideal candidate has a strong background in nonprofit accounting, with experience in grant management, audit preparation, and accounts payable processes. This role is best suited for someone who is proactive, comfortable managing recurring financial workflows, and familiar with the regulatory standards associated with federally funded programs. Candidates should be comfortable using QuickBooks and working closely with internal staff to ensure transactional accuracy and timely reporting.
Work schedule
- Full-time position (40 hours/week), Monday to Friday. Working hours must align with U.S. Eastern or Central Time Zone.
Responsibilities
- Maintain and update accounting records in QuickBooks, ensuring accurate categorization of all transactions
- Manage accounts payable, including routine invoice data entry, approvals, and scheduling payments for disbursement
- Process and record monthly federal grant reimbursements and ensure accurate allocation of funds to designated cost centers
- Track and maintain documentation for government-funded food programs, including incoming claims and outgoing provider disbursements
- Prepare regular financial reports for internal stakeholders and funding bodies in compliance with audit and grant guidelines
- Assist with month-end and year-end closing processes and prepare for external audits by compiling needed documentation
- Collaborate with program directors and leadership to ensure correct coding of expenses and adherence to grant reporting requirements
- Respond to inquiries related to financial records and provide clarification or documentation as needed
- Uphold strong internal controls, audit trails, and finance-related compliance measures within nonprofit standards
- Coordinate with the internal team for handoffs, clarification on disbursements, and to process items within required timelines
Qualifications
- Bachelor’s degree in Accounting, Finance, or Business Administration
- Minimum 2 years of experience in nonprofit accounting, with demonstrated skills in managing grant or federally funded program tracking
- Proficiency in QuickBooks Online and Microsoft Excel; familiarity with Microsoft 365 is preferred
- Strong understanding of nonprofit financial standards including audit trails, restricted funds, and compliance reporting
- Excellent verbal and written English communication skills
- Exceptional attention to detail and time management skills; ability to work independently and meet predictable deadlines
- Prior experience supporting a U.S.-based nonprofit organization, particularly in education or social services preferred
- Demonstrated ability to work cross-functionally with programmatic and administrative staff to understand financial input and accountability
- Knowledge of federal pass-through grants and reimbursement mechanisms is a strong plus
