Virtual Assistant (Business Consulting)

We are seeking a proficient Virtual Assistant specialized in crafting high-quality PowerPoint presentations. The ideal candidate will possess excellent communication skills, meticulous attention to detail, and the flexibility to adapt seamlessly to various brand guidelines.
Work schedule
- 20 hours per week, part-time role aligned with U.S. Eastern Time
- Flexible working hours with expected responsiveness to deadlines, timely task completion, and availability for pre-scheduled meetings.
- Potential for growth into a full-time position.
Responsibilities
- Create and design high-quality PowerPoint presentations that effectively communicate complex information, ensuring alignment with brand guidelines and visual consistency.
- Execute graphic design tasks using Canva, Adobe Creative Suite, and other tools as needed to support internal and client-facing content.
- Perform quality control checks, including proofreading and formatting, to ensure all materials meet professional standards (e.g., consistent fonts, aligned elements, correct grammar).
- Prepare and manage light bookkeeping tasks, such as compiling and submitting expense reports.
- Handle sensitive client data with utmost confidentiality and follow strict data privacy protocols.
- Utilize project management platforms to manage task intake, track progress, and provide timely updates.
- Balance multiple priorities and deadlines while maintaining high-quality outputs across all assigned tasks.
- Leverage AI tools to enhance productivity while ensuring secure and ethical use of AI in day-to-day tasks.
- Proactively learn and apply new technologies, including AI-based automation, to improve work efficiency.
- Provide executive support, including meeting scheduling and coordination, to streamline daily operations.
- Collaborate with internal teams to understand project goals and deliver creative solutions tailored to specific needs.
Qualifications
- Bachelor’s degree in Communications, Graphic Design, Marketing, Business Administration, or a related field.
- Proven experience in executive support, including calendar management, task coordination, and professional correspondence.
- Proficient in Microsoft 365, with advanced skills in PowerPoint for creating engaging and brand-aligned presentations.
- Demonstrated graphic design skills using Adobe Creative Suite, Canva, and other design platforms, with the ability to produce visually compelling materials.
- Strong understanding of AI tools and the ability to apply AI-driven solutions to improve task efficiency and workflow automation.
- Skilled in handling confidential and sensitive information with discretion and adherence to data privacy standards.
- High attention to detail with excellent proofreading and document formatting abilities.
- Familiarity with data analysis and reporting, including compiling and interpreting survey results or related datasets.
- Experienced in using project management tools (e.g., Asana, Trello, ClickUp) to manage tasks, track progress, and maintain effective communication.
- Ability to quickly adapt to varying brand guidelines and deliver creative outputs aligned with client expectations.
- A portfolio showcasing prior work in presentation design, visual content, and/or branding materials is strongly preferred.
