Virtual Assistant (Educational Consultancy)

Remote - Metro Manila, National Capital Region, Philippines

We are seeking a highly organized and detail-oriented Remote Administrative Assistant to support a U.S.-based educational consultancy in the college admissions industry. The ideal candidate is experienced in backend administration, task management, and client-facing communication. You will assist with daily operations, CRM management, content coordination, and other administrative duties. This role is best suited for someone who thrives in a fast-paced environment and can manage multiple tasks with precision and professionalism.

Work schedule

  • Full-time, 40 hours per week
  • Monday to Friday, 12:00 PM – 8:00 PM Pacific Time (PST) 

Responsibilities

  • Assist CEO and sales team with sales throughout the sales funnel including proposal creation, Hubspot Deals management, enrollment agreements, invoicing, and onboarding
  • Support Academic and Admissions Counselors with administrative and operational tasks.
  • Populate and maintain Google Sheets with school selection and student opportunity data.
  • Manage, update, and organize CRM databases using HubSpot.
  • Assist with student application proofreading to ensure accuracy and quality.
  • Create and maintain HubSpot forms, workflows, email sequences, and campaign data.
  • Handle accounts revenue tasks such as invoicing and revenue tracking.
  • Perform QuickBooks tasks, including managing accounts receivable.
  • Collaborate on content creation for email marketing and social media with the CEO and marketing manager.
  • Coordinate internal communication and manage shared content materials across the team.
  • Monitor and report on campaign performance; propose and implement improvements.
  • Coordinate meetings, ensuring priorities are tracked and aligned with team goals.
  • Support various academic and operational initiatives through ad hoc projects.

Qualifications

  • Bachelor’s degree in Business Administration, Communication, Marketing, or a related field
  • At least 2 years of experience in administrative support, CRM management, or marketing coordination
  • Proficient in Google Workspace (Docs, Sheets, Presentations, Admin Console)
  • Experience using HubSpot (Marketing and Sales), Asana, and QuickBooks
  • Strong grammar, formatting, and writing/editing skills
  • Familiarity with email marketing and campaign tracking
  • Excellent time management, problem-solving, and organizational skills
  • Able to work independently and collaboratively in a remote, fast-paced team environment
  • Demonstrates strong English communication skills (written and verbal)
