Operations Manager
We are seeking an Assistant Operations Manager to support the operational functions of a growing boutique outsourcing company. This role involves coordinating cross-functional activities across recruitment, HR, and client-facing teams, ensuring operational efficiency, and supporting performance management initiatives. The ideal candidate is an organized, proactive professional with strong communication skills and a background in people and process management. This role reports directly to the CEO and works closely with the Operations Manager.
Work schedule
- Overlapping schedule between Philippines and US Timezone
- 40 hours a week
Responsibilities
- Lead day-to-day operations across teams, ensuring performance, accountability, and service excellence.
- Oversee client onboarding and implementation processes, ensuring smooth transitions, clear expectations, and structured handoffs.
- Manage new hire onboarding, including training alignment, documentation readiness, and integration into operational workflows.
- Design, document, and continuously improve operational processes using Lean, Six Sigma, and project management best practices.
- Build scalable systems that support growth, efficiency, and quality control across departments.
- Proactively identify operational gaps, risks, and bottlenecks, and implement corrective actions without waiting for direction.
- Develop strong, trust-based relationships with direct reports while maintaining performance standards and due process compliance.
- Ensure adherence to structured performance management, including documentation, feedback cycles, and disciplinary protocols when necessary.
- Create and maintain executive-level reporting dashboards, providing clear operational insights and data-driven recommendations.
- Drive cross-functional collaboration and act as a bridge between leadership and operational teams.
- Demonstrate flexibility and responsiveness to evolving business needs, recognizing that this role requires ownership beyond traditional working hours when necessary.
- Implement simple workflow automations using tools such as Zapier or Make (formerly Integromat) to improve efficiency and reduce manual tasks.
- Roll up sleeves when required, stepping into tactical execution to support teams during high-demand periods.
Qualifications
- Bachelor’s degree in Business Administration, Operations Management, Human Resources, or a related field
- At least 3 years of experience in operations, project coordination, or HR/recruitment support roles
- Strong understanding of performance management frameworks and operational reporting
- Proven ability to coordinate with multiple stakeholders in a remote and multicultural environment
- Excellent written and verbal English communication skills
- Proficiency in Microsoft 365, Google Workspace, and project management tools (e.g., Notion, Trello, Asana)
- Experience in the outsourcing, HR, or recruitment industry is highly preferred
