Assistant Operations Manager

Remote - Manila, National Capital Region Philippines

We are seeking an Assistant Operations Manager to support the operational functions of a growing boutique outsourcing company. This role involves coordinating cross-functional activities across recruitment, HR, and client-facing teams, ensuring operational efficiency, and supporting performance management initiatives. The ideal candidate is an organized, proactive professional with strong communication skills and a background in people and process management. This role reports directly to the CEO and works closely with the Operations Manager.

Work schedule

  • Overlapping schedule between Philippines and US Timezone
  • 40 hours a week

Responsibilities

  • Support the CEO in overseeing day-to-day operations and strategic initiatives
  • Collaborate with the Operations Manager on process oversight, reporting, and internal coordination
  • Coordinate with HR, recruitment, and client hiring managers to ensure seamless onboarding and alignment
  • Prepare and maintain operational reports, metrics, and dashboards to track team and business performance
  • Support and implement performance management processes, including feedback loops and improvement plans
  • Serve as a people manager, assisting with team supervision, workload distribution, and engagement initiatives
  • Identify opportunities for process improvements and propose system enhancements across departments
  • Document and update SOPs to ensure alignment and consistency in service delivery
  • Handle ad hoc operational tasks and special projects as needed

Qualifications

  • Bachelor’s degree in Business Administration, Operations Management, Human Resources, or a related field
  • At least 3 years of experience in operations, project coordination, or HR/recruitment support roles
  • Strong understanding of performance management frameworks and operational reporting
  • Proven ability to coordinate with multiple stakeholders in a remote and multicultural environment
  • Excellent written and verbal English communication skills
  • Proficiency in Microsoft 365, Google Workspace, and project management tools (e.g., Notion, Trello, Asana)
  • Experience in the outsourcing, HR, or recruitment industry is highly preferred
