Virtual Assistant - Part-time

We are seeking a detail-oriented Virtual Assistant to join our client's rapidly growing peer-to-peer tutoring business. In this pivotal role, you will manage daily operations, ensure effective communication with tutors and clients, maintain organized systems, and support company growth. The ideal candidate is highly organized, proactive, and eager to contribute meaningfully to student success.

Work schedule

  • Part-time, approximately 20 hours per week
  • Potential to develop in a full-time role depending on business needs and performance

Responsibilities

  • Oversee client and tutor relations, ensuring timely and effective communication, strong relationships, and high satisfaction for all stakeholders.
  • Manage the client pipeline, converting leads into active clients and facilitating smooth onboarding for new families.
  • Respond promptly to client inquiries via email, phone, and SMS, maintaining excellent customer service standards.
  • Coordinate and match tutors with students efficiently, ensuring new clients are paired within three days.
  • Maintain and update client and tutor profiles within the tutoring CRM, ensuring accuracy and completeness of records.
  • Conduct regular weekly meetings with company co-founders to review operational progress and strategic objectives.
  • Develop and document standardized procedures clearly and concisely, facilitating smooth daily operations and training materials.
  • Demonstrate sound judgment aligned with the client’s organizational goals, mission, and values.

Qualifications

  • Proven experience as a Virtual Assistant, Administrative Assistant, or similar role, preferably in education, tutoring, or related industries.
  • Exceptional organizational and multitasking skills, with meticulous attention to detail.
  • Strong critical thinking and problem-solving skills, able to handle dynamic challenges with sound decision-making.
  • Excellent verbal and written communication skills, capable of fostering clear, effective relationships with internal and external stakeholders.
  • Comfortable quickly learning new technologies and systems, especially CRM platforms.
  • Bachelor's degree in Business Administration, Communications, Education, or a related field preferred.
