Event Coordinator

We are seeking a dedicated and enthusiastic coordinator to join our team. As a coordinator, you will play a vital role in engaging, educating, and supporting the global community established by our client. Our client is the largest community for Business Events Strategists, providing education, networking, and knowledge sharing opportunities. Work schedule:

  • Full-time, 40 hours per week, Monday to Friday  
  • Aligned to Singapore Time

Responsibilities: 

MEMBERSHIP / COMMUNITY

  • Own member acquisition and retention by building and maintaining the membership pipeline and driving APAC growth of the PCMA community.
  • Plan integrated recruitment and engagement campaigns in partnership with the marketing team, and own execution across phone, email, digital, and in-person channels.
  • Achieve organizational retention goals through proactive member outreach, renewal follow-up, and reactivation of lapsed members.
  • Manage the end-to-end membership journey — enquiries, join applications, onboarding, and renewals — to ensure a seamless, high-quality experience.
  • Act as the primary point of contact for community members, owning the shared membership inbox and phone line, resolving enquiries in line with organizational service levels and exercising judgement on when escalation is warranted.
  • Maintain the accuracy and integrity of membership records in the database, including data entry, updates, and list pulls.
  • Grow and moderate the online APAC community across the association’s community app, social channels, and online forums, fostering connections and knowledge exchange between members.
  • Create and publish event and community content aligned with brand guidelines, working closely with the events and marketing teams.
  • Own membership and community reporting end to end — track and analyze performance against KPIs, surface trends and opportunities, and deliver timely reporting and recommendations to leadership.
  • Represent PCMA at events and lead on-site membership activity, including registration, member hosting, and post-event follow-up, to advance recruitment and retention.
  • Stay current on industry trends, emerging technologies, and best practices in the business events sector, and apply that insight to guide members and strengthen programs.

EVENTS

  • Organize and coordinate educational programs, events, and conferences.
  • Manage event logistics end to end, including venue sourcing, F&B arrangements, supplier liaison, volunteer coordination, registration, and preparation of presentation slides and event materials.
  • Deliver virtual and hybrid events, including webinar platforms, registration systems, and post-event follow-up.
  • Own post-event reporting, including attendance, feedback, and engagement outcomes.
  • Manage sponsorship fulfilment to ensure sponsor commitments are delivered and expectations met.

VOLUNTEER MANAGEMENT

  • Provide day-to-day support to volunteer groups, committees and task forces, including scheduling meetings, preparing agendas, and circulating minutes and action items.
  • Maintain volunteer records, rosters and contact lists, and support the recruitment, onboarding and offboarding of volunteers.
  • Act as a liaison between volunteers and internal teams, ensuring volunteers are briefed, resourced and recognized for their contributions.
  • Track volunteer participation and deliverables, following up to keep initiatives on schedule.

Qualifications:

  • Minimum 1–2 years of experience in membership, community engagement, customer service, events, marketing, or sales; candidates with strong internship experience will be considered.
  • Interest in the business events industry, with some exposure to event coordination or event support across in-person, virtual, or hybrid formats.
  • Ability to work independently — manage your own priorities and follow through — while collaborating comfortably within a small team.
  • Good organizational and time management skills, with the ability to juggle multiple tasks and meet deadlines in a fast-paced environment.
  • A clear, personable communicator with strong written and verbal skills.
  • High attention to detail and accuracy in record-keeping, data entry, and reporting.
  • Comfortable with Microsoft Office (Word, Excel, PowerPoint) and everyday digital tools such as social media and content creation platforms.
  • Strong service orientation, with the initiative to take things on, the willingness to learn, and the judgement to ask when unsure.
  • Proficiency in using AI tools to support research, content drafting, and day-to-day productivity; the responsible use of AI in this role is fully supported and encouraged.
  • Experience with CRM such as Salesforce, or with web publishing tools such as WordPress.
  • Experience moderating or growing an online community on platforms such as Slack, Circle, LinkedIn Groups, or discussion forums.
  • Comfortable maintaining a consistent, responsive, and professional presence with community members and stakeholders throughout the working day.
  • Basic email marketing or marketing automation experience (e.g. Mailchimp, Pardot).
  • Familiarity with project management tools such as Monday.com.
  • Experience working with a globally distributed team across multiple time zones.
