Virtual Assistant (Sales Support)

Remote - Metro Manila, National Capital Region, Philippines

In the fast-paced events management and small business services industry, the Sales Assistant role provides dedicated administrative and outreach support to the lead sales representative. This remote position is essential for managing communications, conducting outbound outreach via HubSpot, and facilitating scheduling to optimize sales pipeline efficiency. The ideal candidate is detail-oriented, has strong English communication skills, is comfortable with phone outreach (cold calling and voicemails), and can creatively support sequence and template creation alongside ongoing direct collaboration with the head sales agent.

Work schedule  

  • Full-time, 30 to 40 hours per week  
  • Monday to Friday  
  • Aligned with U.S. Eastern Time Zone (EST)

Responsibilities:  

  • Manage inbox and calendar for the lead salesperson, responding to emails and scheduling meetings efficiently  
  • Conduct outbound outreach via HubSpot, including cold calls, voicemails, and sending templated emails and sequences  
  • Assist in the creation and updating of email templates and outreach sequences to support sales campaigns  
  • Facilitate communication through texts and emails with prospects and clients following predefined guidelines  
  • Collaborate daily with the head sales representative to adjust priorities and tasks based on dynamic sales plans  
  • Track and monitor inbound leads, ensuring timely follow-up and documentation within CRM tools  
  • Maintain organized records of communications and outreach efforts to support sales reporting  
  • Serve as a proactive point of contact to escalate any task scope changes or performance concerns to management  

Qualifications:  

  • Bachelor’s degree in Business Administration, Marketing, Communications, or related field preferred  
  • Minimum 2 years of experience in sales support, administrative assistance, or sales operations roles  
  • Proficiency with HubSpot CRM or similar sales automation tools required  
  • Strong command of English, both written and verbal, with excellent communication and interpersonal skills  
  • Demonstrated problem-solving abilities and adaptability in a fast-paced environment  
  • Highly organized, attentive to detail, and capable of managing multiple outreach campaigns simultaneously  
  • Previous experience supporting sales teams in small to medium-sized business environments preferred  
  • Comfortable with making outbound calls and managing phone-based outreach professionally
