Virtual Assistant - Part-time

Remote - Metro Manila, National Capital Region, Philippines

This role supports a private pay counseling practice specializing in services for couples, teens, and high-achieving individuals struggling with personal challenges such as anxiety and depression. The ideal candidate will handle client intake, lead follow-up, and administrative support while also contributing to basic social media management. This position requires strong communication skills, responsiveness, and the ability to represent a premium service with professionalism and care. Candidates with experience in healthcare or counseling environments and familiarity with HIPAA compliance are highly preferred.

Work schedule  

  • Part-time, 20 hours per week  
  • Monday to Friday, daytime hours aligned with Eastern Time Zone (ET)  


Responsibilities:  

  • Manage inbound client leads and inquiries, including prompt follow-up via phone calls, voicemails, and emails to nurture prospective clients  
  • Organize and categorize client leads, maintaining an up-to-date and accurate intake database  
  • Coordinate general administrative tasks including scheduling assistance and correspondence management  
  • Support social media presence by managing existing Facebook and YouTube accounts, and contributing to content creation and posting to increase local outreach  
  • Assist with basic data assessment of lead trends and follow-up effectiveness to support business development  
  • Maintain confidentiality and adhere strictly to HIPAA and data privacy requirements  
  • Collaborate with therapists and management to support practice growth and operational efficiency  
  • Update and organize digital files, notes, and client information with attention to detail and privacy standards  

Qualifications:  

  • Bachelor’s degree in Business Administration, Communications, Healthcare Administration, Psychology, or related field preferred  
  • Minimum 2 years experience in virtual assistance, preferably supporting healthcare or counseling practices  
  • Familiarity with HIPAA regulations and previous work in healthcare settings strongly preferred  
  • Proficient with Microsoft 365, QuickBooks, CRM tools, and social media platforms (especially Facebook and YouTube)  
  • Excellent English communication skills, both verbal and written  
  • Strong organizational, multitasking, and problem-solving abilities  
  • Demonstrated ability to provide empathetic and professional client interactions by phone and email  
  • Self-motivated and detail-oriented with a strong commitment to confidentiality and compliance
